Everyone loves an Event series, but who has the time to make every individual Event from now until next year? Thankfully, you can just set Events as a recurring and remove the hassle.
PLEASE NOTE: This feature is not yet live for your members on iOS, Android and Web. For more information, please refer to this article here.
We've all been there, you have a series of Events that take place once a month for the next year. You're 6 Events in and all you want to do is give your typing hands a break. Thankfully, you can instead create one single Event and set it to be a recurring one, so that the following Events can be automatically created for you.
Creating a Recurring Event:
When creating an Event, you will see the option towards the bottom of the page to set a Repeat schedule. Selecting this gives you the option to turn this Event into a recurring one based on a specific cadence that you set.
The Event itself is then duplicated as an Event for each date it's set to fall on.
You can set an Event to recur at the following cadence:
-
Daily
- The Event will recur every day.
-
Weekly Custom
- You can set which days within a week you want the Event to recur on and then repeat this every week.
- For example, if you want an Event to recur every Tuesday and Friday, you can set this here.
-
Weekly
- The Event will recur every week on the day you originally set it.
- So if the first Event is on a Tuesday, it will recur on every Tuesday going forwards.
-
Monthly
- The Event will recur every month on the day you originally set it.
- So if the first Event is on the 12th of December, it will recur on the 12th of every month going forwards.
Once you have selected your recurring cadence, you have to select when you want your Event series to end.
You have three options here, depending on your needs:
-
Never
- This means that you're not setting an end date for your Event series and want it to repeat to our available limit.
- Events can be repeated up to a maximum number of:
- 730 occurrences (if it's a daily Event)
- 3 years into the future (if it's not a daily Event)
-
On
- This allows you to specifically set the date of the last Event in the series.
-
After
- This allows you to simply set how many occurrences you want your Event series to have, instead of figuring out the exact date to set yourself.
Editing a Recurring Event:
You can edit any Event in a series, and can choose to apply the changes to future Events too.
Once you've made the desired edits to your Event and have pressed publish, you'll be presented with the following options:
-
This Event
- This will only publish the changes to the specific Event occurrence you edited, leaving all other Events in the series untouched.
-
This and Following Events
- This will publish all of your changes to the Event occurrence you edited and all future Events in the series that come after this edited Event. Any Events that occurred before the edited Event will remain unchanged.
-
All Events
- This will publish your changes to all Events in the series, both past and future.
Considerations:
If you make changes to the date, time or recurrence schedule of an Event series, there are a few technical considerations to be aware of.
-
This Event
- You've changed the date/time/recurrence for an Event in a series but only want to apply it to this individual Event.
- The Event is taken out of the series and is then treated as its own standalone Event.
- Members' RSVP status will be removed and any members who had RSVP'd as going, will receive an in-App notification informing them of the change.
-
This and Following Events
- You've changed the date/time/recurrence for an Event in a series and only want to apply it to this and future Events in the series.
- This Event and all future Events are taken out of the series and are turned into their own series.
- Any past Events in the series remain unaffected.
- Members' RSVP status will be removed and any members who had RSVP'd as going, will receive an in-App notification informing them of the change.
-
All Events
- You've changed the date/time/recurrence for an Event in a series and want to apply it to all Events in the series.
- All Events in the series are changed.
- Members' RSVP status will be removed and any members who had RSVP'd as going, will receive an in-App notification informing them of the change.
Interacting with a Recurring Event as a Member:
Members can see that an Event is a part of a recurring schedule through the use of the repeating icon that shows next to the date and time of the Event, along with the recurrence schedule.
As a member, when you are RSVP-ing to an Event that is a part of a recurring series, you are presented with two options:
-
This
- Lets a member RSVP to this Event only.
-
This and Future
- Lets a member RSVP to this Event and all future Events in the series.
Members are also presented with the exact same options when changing their RSVP status, allowing them to make changes to that individual Event or all future Events as well.
